This page explains which personal data we collect when you contact us or entrust an inverter to us for repair, why we need it, how long we keep it and what rights you have. We apply it in accordance with the General Data Protection Regulation (EU) 2016/679 and Greek Law 4624/2019.

For any matter concerning your data, write to us at info@aineas.gr with the subject “Personal data”.
2. What data we collect
We collect only what we need to reply to you and to do our work:
- When you contact us (form, phone, email): full name, phone number, email address, manufacturer and model of the inverter, error code and your message.
- When you send us equipment for repair: contact and invoicing details, details of the unit (model, serial number), description of the fault and, where needed for the diagnosis, details of the installation.
- When we issue an invoice: your tax details, as required by law.
- When you visit the website: visitor statistics without cookies and without your IP address — see section 6.
We do not request or process special categories of data (health, beliefs, etc.) and we do not address minors.
3. Why we process it and on what legal basis
| Purpose | Legal basis |
|---|---|
| To reply to your enquiry and give you a quotation | Steps prior to entering into a contract — Article 6(1)(b) GDPR |
| To receive, diagnose and repair your unit | Performance of a contract — Article 6(1)(b) GDPR |
| To issue invoices and keep our tax records | Legal obligation — Article 6(1)(c) GDPR |
| To keep a repair history, so that we know what has been done on each unit | Legitimate interest — Article 6(1)(f) GDPR |
| To defend our rights in the event of a dispute | Legitimate interest — Article 6(1)(f) GDPR |
| To know which pages of the website are useful (statistics without identification, section 6) | Legitimate interest — Article 6(1)(f) GDPR |
We do not use your details for marketing messages and we do not sell them to anyone. We do not make automated decisions about you.
4. How long we keep it
- Simple enquiries that did not lead to a repair: 12 months.
- Repair file (receipt form, diagnosis, what was done): 5 years from delivery of the unit.
- Invoices and tax records: as long as tax legislation requires (at least five years).
- Messages from the website form (copy on our server): 12 months.
- Visitor statistics (without identification): 13 months.
After these periods expire, the data is deleted or anonymised.
5. Who we share it with
Your data is seen only by those who need to see it:
- The accounting firm that keeps our books.
- The carrier, when we ship or receive your unit — name, address and phone number only.
- The manufacturer or spare parts supplier, when technical information is needed for the specific unit.
- The providers that host our website and email: DigitalOcean (the website; data centre in Frankfurt, Germany), Microsoft 365 (email) and Brevo (France — delivery of the contact form messages to info@aineas.gr).
- Public authorities, when required by law.
Our partners process the data only on our behalf and are bound by confidentiality. Where data is stored outside the European Economic Area, this is done with the safeguards provided for in Chapter V of the GDPR (standard contractual clauses).
6. The website: cookies and third-party services
- The website does not use cookies — no tracking, no advertising, no other cookies — and stores nothing on your device. That is why we do not ask you for cookie consent.
- Visitor statistics. On our own server, with no third parties, we record which page was opened and when, where you came from as a general category (e.g. “Google search”, “direct” — not the full address of the previous page), the device type (mobile, desktop, tablet) and whether you clicked a phone number, email or PDF file. Your IP address is not stored: it is used only at the moment of the visit to form an identifier that changes every day and cannot be traced back to you. If your browser sends “Do Not Track” or “Global Privacy Control”, nothing is recorded. The statistics are kept for 13 months.
- PDF files. When you open a manual or other PDF file, the server records which file, when and from which page or search — again without your IP address.
- The contact form sends the details you enter to our server, from where they reach info@aineas.gr by email (via the Brevo service). We keep a copy on the server for 12 months, so that no enquiry is lost. Your IP address is not stored with the message; it is used temporarily only to protect the form from bulk spam.
- On the Contact page, the Google Maps map loads only if you click “Show map”. Google then receives your IP address and Google's privacy policy applies.
- The fonts are loaded from our own server — not from Google.
7. Your rights
You have the right:
- to request a copy of the data we hold about you;
- to request rectification of anything that is wrong or incomplete;
- to request erasure, when we no longer need the data and the law does not oblige us to keep it;
- to request restriction of processing;
- to receive your data in a portable format;
- to object to processing based on our legitimate interest.
Write to us at info@aineas.gr and we reply within one month. If you believe we have not respected your rights, you may lodge a complaint with the Hellenic Data Protection Authority — Kifisias Ave. 1-3, 115 23 Athens, Greece, tel. +30 210 6475600, www.dpa.gr.
8. Security
Your data is stored on systems with access control and backups. Access is limited to the people in the company who need it for their work. No method of transmission or storage is completely secure, but we take care to keep the risk to a minimum.
9. Changes to this policy
If anything material changes, we will update this page and the date at the bottom of it.
